Step Up provider invoice requirements for reimbursements

Many reimbursement problems start with invoices that look fine to a family but still miss one field the scholarship reviewer needs to connect the purchase, payment, category, and student.

What almost every invoice or receipt should show

  • Provider or business name.
  • Full transaction or invoice date.
  • Clear description of what was purchased or what service was delivered.
  • Amount charged, with the cost breakdown when applicable.

That invoice still does not replace proof of payment. Families usually need a second document showing that the purchase was actually paid.

Fields that often depend on the category

Some categories need more. Private-school tuition statements may need the student's exact name and itemized charges. Service invoices may need service dates, the provider's full name, and license or credential details. Internet and subscription categories may need addresses or billing periods that match the scholarship rules for that category.

Another common issue: if the provider name on the proof of payment does not match the provider name on the invoice, Step Up may ask for a provider letter explaining the difference.

Invoices that usually create trouble

  • Invoices that never show whether they were paid in full.
  • Documents that use only medical billing codes without a clear service description.
  • School or family billing statements that bundle multiple students without making the claimed student obvious.
  • Receipts that hide the itemized detail behind a short store summary.
